Booking Cancellation

This Return Policy outlines the terms and conditions for cancelling photography service bookings with Comforteoscent. Please review this policy carefully before making a booking.

Cancellation by Client

More Than 30 Days Before Session

If you cancel your booking more than 30 days before the scheduled session date, you may be eligible for a full refund of any deposit paid, minus any non-refundable expenses already incurred (such as location booking fees or equipment rentals).

14-30 Days Before Session

If you cancel your booking between 14 and 30 days before the scheduled session date, the deposit is typically non-refundable. However, we may offer to reschedule your session to a mutually agreeable date within 6 months of the original date.

Less Than 14 Days Before Session

If you cancel your booking less than 14 days before the scheduled session date, the deposit is non-refundable. In exceptional circumstances, we may consider rescheduling, subject to availability and additional fees.

Same-Day Cancellation or No-Show

Same-day cancellations or failure to appear for a scheduled session (no-show) result in forfeiture of the full deposit. The full session fee may be charged if the cancellation occurs on the day of the session.

Rescheduling

We understand that circumstances may require rescheduling. Rescheduling requests should be made as early as possible:

  • More than 14 days notice: Rescheduling is typically accommodated at no additional charge, subject to availability
  • 7-14 days notice: Rescheduling may be subject to a rescheduling fee
  • Less than 7 days notice: Rescheduling may not be available, and cancellation terms apply

Cancellation by Photographer

In the rare event that we must cancel a booking due to circumstances beyond our control (illness, equipment failure, weather for outdoor sessions, etc.), we will:

  • Provide as much advance notice as possible
  • Offer to reschedule at no additional cost
  • Provide a full refund if rescheduling is not possible
  • Assist in finding alternative arrangements when feasible

Refund Process

If you are eligible for a refund:

  • Refunds will be processed using the same payment method used for the original transaction
  • Refunds typically take 5-10 business days to appear in your account
  • You will receive confirmation once the refund has been processed

Force Majeure

In cases of force majeure events (natural disasters, government restrictions, pandemics, etc.) that prevent the session from taking place, we will work with clients to reschedule or provide appropriate refunds based on the specific circumstances.

Completed Services

Once photography services have been completed and images have been delivered, services are considered fulfilled. Refunds are not available for completed services, except in cases where there has been a material failure to deliver the agreed-upon services.

Disputes and Complaints

If you have concerns about the services provided or wish to dispute a cancellation charge, please contact us directly. We are committed to resolving issues fairly and professionally.

All disputes should be raised within 30 days of the service date or cancellation, as applicable.

Special Considerations

Event Photography

For private events photography, cancellation terms may vary based on the event date and our ability to fill the booking slot. Event bookings typically require a larger deposit and have stricter cancellation terms due to the commitment of resources.

Travel or Location Fees

If your booking includes travel or location fees that have already been incurred (such as flights, accommodation, or venue deposits), these costs are typically non-refundable regardless of cancellation timing.

Refund Processing

Eligible refunds are processed using the original payment method. Processing times vary by payment provider but typically take 5-10 business days to appear in your account.

For international clients, refund processing may take longer due to banking procedures. Currency conversion rates at the time of refund may differ from the original transaction rate.

Partial Refunds

In some circumstances, partial refunds may be applicable:

  • If services have been partially completed before cancellation
  • If non-refundable expenses have been incurred on behalf of the client
  • If cancellation occurs after significant preparation work has been completed

Partial refund amounts are calculated based on work completed and expenses incurred, with detailed breakdowns provided upon request.

Weather and External Factors

For outdoor photography sessions, weather conditions may affect the ability to proceed. In cases of severe weather that prevents safe or effective photography:

  • Sessions will be rescheduled at no additional cost
  • If rescheduling is not possible, full refunds will be provided
  • Decisions regarding weather-related cancellations are made with client safety and image quality in mind

Equipment Failure

In the rare event of equipment failure that prevents completion of a session, we will:

  • Attempt to reschedule immediately if possible
  • Provide full refunds if rescheduling is not feasible
  • Cover any additional costs incurred by the client due to the failure

Client No-Show Policy

If a client fails to appear for a scheduled session without prior notice:

  • The full session fee is forfeited
  • Rescheduling may be available at our discretion and may incur additional fees
  • Repeated no-shows may result in requiring full payment in advance for future bookings

Modifications to This Policy

We reserve the right to modify this Return Policy at any time. Changes will be effective upon posting to this page. The policy in effect at the time of your booking will apply to your cancellation.

Clients will be notified of significant policy changes that may affect existing bookings.
